The Qualified Products Database supports verification of products and manufacturers qualified under specified defense standardization documents. A procurement review must connect the listing to the exact specification, product designation and manufacturing source. Qualification and delivery acceptance remain distinct: a listed product still needs to meet the requirements of the individual contract and supplied configuration.
Read the governing specification and contract to establish whether qualification is required and which listing applies. Qualified Products Lists and Qualified Manufacturers Lists reflect different qualification arrangements. A similar commercial product or a manufacturer’s general reputation does not establish the qualification status of the ordered item.
Review the listed manufacturer, product designation, specification and relevant qualification details. NCQM practice consideration: compare these with the purchase order, marking and supplier documentation. An authorized distributor may supply a qualified item, but the distribution relationship does not by itself establish the item’s manufacturing origin or qualification.
Qualification status can change. Use the official database and the responsible qualifying activity for the applicable record. Record the date and scope of the review. Where the listing or specification is unclear, resolve the question before substituting an unlisted configuration or presenting an old approval letter as evidence of current qualification.
NCQM practice consideration: connect the qualified designation to the actual delivered item, lot, date code and manufacturer evidence. Review the chain of supply and any changes in packaging or marking. A database printout proves little about an unidentified component. The acceptance record needs both the qualification reference and evidence of the supplied item’s identity.
Changes in design, materials, manufacturing location or processes may require action under the governing qualification arrangement. Consult the relevant specification and qualifying activity. Internally, establish who reviews these changes before procurement or release. Treat qualification-sensitive characteristics as controlled requirements rather than as assumptions carried forward indefinitely from the first order.
A qualification listing does not replace inspection, testing, documentation or other contract requirements. It is also not a statement that DLA endorses every product a listed manufacturer sells. Read the applicable contract and specification with the official record. NCQM’s reference explains how to review evidence; it does not confer qualification or approve a supply source.
