Supplier Requirements Checklist
Version 1.0 · Tool & checklist
Use this checklist before accepting or revising a supplier requirement package. The objective is shared understanding of the work and its acceptance conditions.
Review record
Record the item or service, purchase reference, document editions and people responsible for the review. Keep sensitive commercial information within your organization's authorized system.
| Question | Review evidence |
|---|---|
| Is the supplied object unambiguous? | Item, service, model, configuration or revision |
| Is intended use relevant and described? | Operating context and requirements affected |
| Are mandatory requirements distinct from preferences? | Clear requirement wording and authority |
| Are controlling documents identified? | Title, designation and edition |
| Are conflicts addressed? | Agreed document precedence or resolution route |
| Are acceptance conditions clear? | Characteristic, condition and criterion |
| Is required evidence specified? | Report, record, declaration or other defined material |
| Can evidence be related to the delivery? | Sample, lot, configuration and delivery references |
| Is review authority identified? | Roles permitted to accept, reject or grant an exception |
| Are changes controlled? | Notification subjects, timing and approval responsibility |
| Is nonconforming supply addressed? | Communication, containment and disposition route |
| Are exceptions bounded? | Scope, period, authorization and continuing requirements |
| Is the requirement understood? | Supplier questions and agreed responses |
| Can users find the current version? | Distribution and revision controls |
| Are open issues resolved or assigned? | Owner, evidence needed and decision before supply |
Record the outcome
For each issue, record the requirement, evidence, unresolved point and responsible person. An unanswered question should not be treated as an affirmative response.
Make a decision
Determine whether the package is ready for the intended agreement or needs clarification. Do not use a total score to compensate for an unresolved requirement that is essential to acceptance.
Maintain the record
Keep agreed changes with the controlling documents. Review the checklist again when scope, design, supplier arrangements or applicable requirements change.
